KRI Autopilot collects Key Risk Indicator measurements without anyone chasing. Once a KRI has an owner and a reporting frequency and Autopilot is switched on, Venvera notices when a reporting period has closed without a value, e-mails the owner a single-use link, and records what they submit against the current thresholds. It never invents a number: people still measure, the platform only asks at the right time and stops asking when the value is in.

Autopilot lives on the KRI list under Risk Management › KRIs. Switching it on or running it needs the grc.edit permission. This article covers the request workflow; the indicators themselves, their thresholds and RAG bands are described in Key Risk Indicators (KRIs).

Switching it on

A KRI is eligible when it has an owner (the person who will be asked) and a frequency (monthly, quarterly or annual). Eligible KRIs show a switch in the Autopilot column; a KRI without an owner or frequency shows why it cannot be enabled. Enable autopilot for all with an owner turns it on for every eligible KRI in one click.

Set owners first. A KRI without an owner is never asked for a value, however good its thresholds are. Owners are set on the KRI itself; the spreadsheet import also accepts an owner column.

What Autopilot does each day

Once a day, early in the morning, Venvera runs the Autopilot pass for every organisation with Autopilot KRIs:

Work out the last finished period

For a monthly KRI that is the last day of the previous month; for a quarterly KRI the last day of the previous quarter; for an annual KRI 31 December of last year. Daily, weekly and custom frequencies are not automated - request those by hand.

Check whether the value is already in

If a measurement exists for that period, or a request for it is still open, nothing happens.

Ask the owner

Otherwise Venvera issues an update request: an e-mail to the owner with a Submit value link that needs no login and is valid for 14 days. Each request is written to the audit trail.

Remind once

A request still open after five days gets exactly one reminder. The reminder carries a fresh link and the earlier link stops working - only one live link exists per KRI and period.

Run autopilot now runs the same pass for your organisation immediately and reports what it did: how many requests it sent, how many reminders, and how many KRIs were already up to date. Use it after enabling Autopilot for the first time, or when you do not want to wait for the morning run.

What the owner sees

The link opens a page showing the KRI, the reporting period and its thresholds and RAG bands, and a field for the value with an optional comment. On submit, Venvera freezes the value against the KRI's current threshold bands to give it a RAG status and severity, stores it as the measurement for that period, and marks the request as submitted. Submitting the same link twice with the same value is harmless; a different value on an already-submitted link is refused, so the owner corrects a mistake by asking the KRI owner or an Editor to amend the measurement in Venvera.

Links are single-use and personal. If an owner forwards one, whoever opens it can submit the value. Change the owner on the KRI rather than sharing links when responsibility moves.

Manual requests

Autopilot uses the same request workflow as Request update on a single KRI and the bulk request action on the list. Manual requests let you pick any reporting period, override the recipient, and cover the frequencies Autopilot does not handle. Sending a manual request for a period that already has an open request refreshes that request instead of creating a second one.

Frequently asked questions

Why did nobody receive a request? Check that the KRI has an owner with an active account and a monthly, quarterly or annual frequency, that Autopilot is on, and that the last finished period does not already have a measurement. Run autopilot now shows the counts, so a run that reports everything as up to date means there was nothing to ask for.

Does Autopilot compute values from the platform? No. It asks people. Indicators with a calculation from system data live in the Risk Management KRI catalogue and are refreshed separately.

Can a Viewer switch it on? No - the switch and the run button need the grc.edit permission.
